To help with streamlining your rostering processes and management when working across a number of geographical areas, you may wish to utilise the Geographic Regions functionality of eziplan. This would allow for each of your rostering staff to manage and maintain appointments in specific areas as well as minimising the travel needed by your staff for client coverage.
Setting up Geographic Regions
This functionality need to be initially set up by the ezihealth team. To assist us in doing this, you need to provide the following details
- Define the physical regions needed, and create a meaningful name for these locations.
- Send this list of geographic region names to the Eziplan Help Desk, and we will then create this custom list for you.
Allocating Geographic Regions
Once we have completed this set-up, you need to work through your clients/participants and staff lists to allocate the regions to their profiles:
- Review your client/participant list and update the correct region name for each client, clicking on the update button at the bottom once you have made the changes.
You may also filter and sort your client list by Geographic region for management of this task.
- Review your staff list and update the correct region name for each staff member. Select the primary working location from the Geographic Region. Select the region(s) your staff have access to from the Multi Region Access list. You must also include the geographic region in the multi region access list.
N.B. If you have requested to have regions restricted when your set up was done, you need to ensure that all regions are ticked in the care worker profile that match the regions for the clients they will be supporting e.g. if care worker's main region is North, and they are covering clients in the North and West, both of these regions need to be marked for the care worker to be able to see the relevant appointments when filtering is applies as below.
Filtering the Weekly Planner by Geographic Region
Weekly planner views can now be filtered by Region for rostering staff.
- Use Display Options/Regions and select the region(s) you wish to review.
- Only those clients and care workers in the region(s) will be displayed in the Weekly Planner view. This will ensure that care workers are working with clients in their geographic area, reducing any unnecessary travel.
- Filtering the weekly planner view by geographic regions will enable you to disseminate the workload amongst your rostering staff. REGION RESTRICTED highlighted in red indicates you are working in a filtered view.
