Rostering Basics 6: Publishing your Roster

Publishing the completed roster for your mobile staff/care workers

Last updated on 21 Jan, 2026

Once your appointments have been loaded and all exceptions have been resolved, it is time to publish the schedule to care workers. They have an opportunity to accept or reject** the assigned appointments. N.B. For a care worker to receive notification of the published schedule, notifications need to be turned on within their User Profile. Notifications can be via email or SMS. ** The ability for staff to be able to reject appointments can be disabled should your processes require staff to phone in to reject appointments. Please let the ezihealth team know if you wish to disable this function.

The header at the top of the Weekly Planner will indicate the status of the roster, it will show as 'Not Published' until you go through the process to publish.

To publish a schedule, change the Publish date in the Save/Load Appts tab to be the last day of the period to be published. As previously mentioned, this is typically the end of a week, a Sunday in advance of previously published schedules. Remember to click Save.

The header at the top of the Weekly Planner will go from 'Not published' to 'Published'.

Note: It is possible to publish a schedule with appointments yet to be resolved. Subsequent schedule changes will be sending out notifications so there will be increased notifications for your care workers. All changes to published schedules are notified through SMS or email as configured.
