If GEO Fencing is enabled in your company profile, Eziplan will warn care staff who are attempting to start/end appointments too far from where the required location, i.e. client home or pre-arranged transport address.

Once you have Geo Fencing enabled, all staff who are set up to have GPS Tracking enabled in their profile will be included. If you have not done so already, to enable GPS tracking, go to “Care Workers” or “User List”, and find the user you wish to enable GPS tracking for, find the following setting labelled “Enable GPS Tracking”, click “Yes” and UPDATE. (for most businesses this part has been the default setting you organised during you implementation.


It is recommended to notify care staff prior to enabling this feature as care workers may DECLINE to share their location when prompted to do so. In this case you will need to assist the worker to update the privacy settings and location services in their phone.

If the phone’s location services are not switched on or the care worker has selected not to share the location, the following alert will appear at the top of each timesheet with the title: “Location not found”.

Once the worker has enabled location services, if they are too far from the client’s home or designated appointment address – an alert will inform them that they are too far from the location.

Care workers may click the REFRESH button (round arrow) if they wish to re-calculate the phone’s location.

 

The system will allow them to mark attendance but will record the variance, which is visible in the “Compliance Report”. You will need to review the Compliance Report for any GPS locations not recorded (N/A) where you are expecting the system to track distances for Care Workers. This is another indicator that the Location services may not be enabled on the Care Workers phone.

NB Geo Fencing does not stop a staff member from completing their timesheets, it only warns them as a reminder so it is clear to them that they are outside the accepted parameters.
