Set up a Custom group within Eziplan to mark the Grandfathered clients
This is only required so that you know which clients qualify internally as the Department will already have this data and it does not affect the package the the client is given
A Grandfathered client will be any client approved for HCP prior to 12/9/24
These clients will always have access to all service types and not be restricted to service types from their assessments

Change current HCP 1-4 to SAH HCP Transitioned 1-4
This is the easiest way to move the majority of clients without setting up new packages for everyone
Only clients that have had their SAH reviews done already will be moving to a standard SAH Package which will be a small number
Those few with assessment completed can be moved to the SAH Level 1-8 and other SAH packages individually

Stage 2 – Service Types Association
SAH Categories and Services are preloaded into Eziplan and need to be associated to the appropriate Eziplan Service Types. Ultimately only one price will be associated to each SAH Service but at this stage these have not been released and prices in Eziplan will continue to be associated to the Eziplan Service Type until the Government sets these next year.
The Government plan is that SAH Services will only have one price associated and the you will only be able to claim one line for each Service provided so all costs associated with a Service will need to be included into the Service Rate.
This will be particularly applicable to Transport Services with both the staff time component and the KMs needing to be covered by the rate. At this stage you will be able to set multiple price bands (eg Transport 0-10km, Transport 11-30km etc). The Government has still not confirmed how this will work finally with many queries on how this will be possible with variable travel lengths.

Confirm your Eziplan Service Types to be used for Support at Home
Create Service Types in Eziplan for any Products that will be provided as part of SAH
Apply package restrictions for Eziplan Service Types so that only Service based Service Types will be available to Roster for Service driven Packages
Open the Config section under the support at Home tab and work through each SAH Service and associate the Eziplan Services to them (only one SAH Service will be able to be linked to an Eziplan Service Type but more than one Eziplan Service Type can be associated to a SAH Service)
Stage 3 - Price Plans
Price Plans will be used to give Eziplan the information required for claiming that was previously managed by Billing Rules. It will be more similar to the NDIS Pricing but you will set the price, at this stage, for each time period and service rather than it being set for you. This will change in the future when the Government takes this over in 2026.
You will need to set your Service pricing to cover the cost of the Staff time and KM to the client as there will no longer be a Travel component available as a second associated claiming line.
Also, you will need to set and roster Transport Appointments separately for the Staff travel with the client rather than adding Travel WITH. We have some thoughts to help with this but a 2 hour shopping trip with up to 20 min/20 km of travel will likely need to be rostered as a 1:40 Everyday Living Category Shopping Assistance Appointment and a separate 20min Transport 0-20km appointment that would be at a fixed rate rather than an hourly one.

Open the Price Plans Section
Add a new Price Plan (give it a name and date range)
Add new lines
Each line is a different Service which at this stage means a line for each individual Eziplan Service Type
The time frames will match the current award times (6am-8pm, starting between 8pm and midnight and then appointments that have any portion after midnight and before 6am)
Stage 4 - Client Set up
SAH Services and Contributions
Once the Government releases the Packages and Contributions (after 1 November) and your client is assigned to a SAH Package you will be able to add these in the config section. If a Client has a Service associated to them only the associated services will be available for the budget and rostering. Any client on the Transitional packages or who has been Grandfathered will not have Services associate and will be able to use any of your SAH Services.
Client Budget
This is the set up of the Quarterly Budget for your clients. This is not the Support at Home Budget from the Government (the SAH Plan with pricing for each level and a set of available Services). The SAH Budget will not be release until at least 1 November. At this stage it is hoped that the API will be completed and you will be able to automatically receive the Budgets into the Config section with the associated Budget ID Number.
Clients will be associated using their MAC numbers so it is important to make sure they are updated properly in the correct Eziplan field.

When you choose the start date Eziplan will automatically choose the end of the quarter as the end date
Setting the status
Start as a draft
You are able to have more than one draft per package but once you move a Budget to Active only one active one is allowed
For now you will need to copy and paste in the funding for the Quarter (once the SAH Plans are released via API and your client has one of these this amount will auto populate)
