Scheduling of appointments can occur within Eziplan in a number of places. The Weekly Planner however provides a visual tool to manage the scheduling of appointments including the ability to see travel times and distances between appointments. It’s preferred if the care week is defined as Monday to Sunday and lines up with your payroll cycle for consistency. Additional views are available by accessing the menu at the top of the screen.

The Weekly Planner is also used to publish schedules to Care Workers once finalised.
Notification of new schedules can be distributed to Care Workers via SMS, email or the schedules can be printed, and hand delivered. Once published, further updates due to cancellations, time adjustments and the like are also individually notified automatically (setting on User Admin screen) to the affected Care Workers.
Schedules can be published any number of weeks in advance but there is a trade-off between planning ahead and minimising rework and notifications to Care Workers. That is why it is recommended to keep it to 1 or 2 weeks in advance if possible; in line with the pay period.

There are 3 main sections in the Weekly Planner.

  1. Menu Bar - Holds Search and page viewing options as well as some notifications
  2. Side Panel - Holds the unallocated Repeats and a series of Vertical Tabs with the functionality for Loading, Saving and Publishing the roster as well as showing Roster Conflicts.
  3. Calendar - Shows weekly or daily views of the Roster by Care Worker or Client and has the ability to do basic appointment changes (time or staff changes and cancellations).
